TERMS & CONDITIONS

While admittedly not the most sparkly details about your booking, these are essential for you to know to ensure you have the best possible experience.

Payment Details

  1. A deposit of 50% is required to secure a date

  2. Payment may made payable through Venmo, PayPal, or Zelle.

  3. Balance is due seven days prior to scheduled picnic date.

  4. Payment details can be found on the invoice sent to customer via email.

  5. The event set up will not occur without full payment prior. If payment in full is not paid two days before the event- the event will be cancelled, and no refund will be given.

 

Use of Equipment

  1. All equipment supplied on hire is the property

  2. Client warrants that all equipment will not be left unattended for the duration of the booking.

  3. Any damage, loss or extensive cleaning will result in a fee to the client. Fees will simply be the amount for purchasing a replacement. These fees are payable within seven days of such loss or damage unless agreed otherwise. Damage includes but is not limited to;

    • Improper use of equipment

    • Missing items

    • Damage to, or loss of, the equipment from any unknown cause

    • Cigarette burns on any furniture or décor items. 

    • Red wine or other staining product spillages or stains on any furniture or décor items

  4. In the event of the equipment being stolen from the booking site, the client shall notify Polka Dots & Picnics in writing stating the full circumstances of the theft and all information from police report.

​Timing of Event

  1. Luxury picnics are booked for two hours. Teepees are booked for 24 hours. 

  2. A request to extend booking duration must occur three days prior to the booking date and is subject to availability. No refunds will be issued in the event the extended hire is not fully utilized. 

  3. Extended hire is charged at a rate of $95 per hour for picnics and 50% of the total fee for teepees.

  4. What if we are running late?

  5. We absolutely understand unforeseen factors that come up, so we will hold your booking for 15 mins from the commencement time. After this time, unfortunately we are unable to hold this any longer, and your booking will be packed down. Chances are we're leaving your set up to do another, and if you run late, we run late, and the next booking also runs late! 

  6. If you arrive late you will be able to use the picnic for the remainder of the time that you are booked for. Depending on our schedule and any subsequent bookings in the day, there is a possibility of adding an extra hour for $95.

 

Photos

  1. You are more than welcome to take photos at our events - in fact, we encourage it! Capture those memories.

  2. We invite you to share photos on social media + tag @polkadotsandpicnics.

  3. Polka Dots & Picnics has the right to all photos taken at the booking for advertising purposes. 

​Release of Liability

  1. By using the services provided by Polka Dots & Picnics you and your party agree that Polka Dots & Picnics cannot be held liable for any injury, illness, death, and/or damage to or loss of property resulting from your, or your party’s, involvement in our events or services. You hereby acknowledge that you and your party’s use of our services involves inherent risks of physical injury, illness, death and/or damage to or loss of property, that you and your party’s participation is entirely voluntary and that you and your party elect to assume all such risk and use the services provided by Polka Dots & Picnics and engage in associated activities with full knowledge of the inherent risks.

  2. You and your party, along with your respective heirs, administrators, personal representatives, executors, successors and assigns agree to waive any right to bring legal action against Polka Dots & Picnics for personal injury, illness, death and/or personal property damage/loss sustained while engaging in our events or using our services. If you or your party should require medical attention while using our services or participating in one of our events you and your party also agree to be financially responsible for the costs of that treatment.


Acknowledgement of Terms of Use

  1. Upon submitting a booking request you are agreeing that you have carefully read and fully understand all the provisions of this Terms of Use and are freely, knowingly, and voluntarily entering into this Release of Liability. You also are acknowledging that you have read and understand the frequently asked questions page including the cancellation and reschedule policy.

PRIVACY POLICY

  1. We are dedicated to protecting the privacy of our clients and their guests invited to, attending, and inquiring about our events and services, including client meetings and/or gatherings produced and hosted by Polka Dots & Picnics. We want to ensure that you as a client understand that we do not at any time sell or share your information to any external entity. As a sole proprietor, all communications and databases are held on a singular, protected drive. This privacy policy shares our data protection practices and how we secure your personal data.
